VP of Operations-Multi-Family Portfolio

Location: Sonoma County, CA

POSITION OVERVIEW

The Vice President of Operations is a key leadership role responsible for overseeing the performance, efficiency, and operations of a growing multifamily portfolio. This role will supervise Property Managers across stabilized and lease-up communities, ensuring operational excellence, resident satisfaction, and strong financial results.

As the portfolio grows beyond 2,600 units, the Vice President of Operations will develop systems, support teams, step in as interim Property Manager when needed. The ideal candidate is an exceptional manager and communicator with the operational expertise in high-performing multifamily assets, including maintenance, facilities, and capital project oversight.

RESPONSIBILITIES

  • Provide direct leadership, coaching, and performance management for all Property Managers.

  • Ensure the operational standards, policies, and best practices across the portfolio are implemented.

  • Oversee day-today operations, ensuring communities meet financial, resident-service, and team member goals.

  • Support communities through lease-ups, major transitions, and new proper launches.

  • Partner with ownership/COO on budgeting, forecasting, and financial planning, and review monthly financials, including NOI, rent rolls, delinquency, and expenses.

  • Work directly with VP of Sales and Marketing to drive revenue optimization through pricing strategies, marketing oversight, and occupancy management.

  • Ensure ongoing compliance with internal policies and local, state, and federal regulations.

  • Implement systems and technologies (property management software, reporting dashboards, etc.) to improve efficiency and transparency.

  • Build a strong, collaborative operational culture focused on accountability, resident experience, and team engagement.

  • Communicate effectively with ownership and cross-functional partners, providing regular operational updates, risk assessments, and recommendations.

  • Manage maintenance operations and property standards, ensuring timely work orders, preventative maintenance, capital planning, safety, and brand alignment.

  • Assist with oversight of vendor relationships, bidding processes, and capital expenditure projects.

QUALIFICATIONS

  • 7+ years in multifamily operations, including multi-community oversight.

  • Proven success managing and developing high-performance property management teams.

  • Strong knowledge of financials, operations, leasing, and resident-service standards.

  • Experience with maintenance, building systems, and vendor management.

  • Exceptional communication, leadership, and problem-solving skills.

  • Ability to travel regularly between properties.

  • High professionalism, judgement, and operational discipline.
